Deliveroo is the fastest-growing technology company in the United Kingdom, and the first-ever to win Deloitte’s UK Technology Fast 50 two years in a row. Founded in 2013, the food courier service achieved a three-year growth rate of over 15,000% to 2018, expanding beyond its London base to operate in 14 countries in Europe and the Asia-Pacific region, from Spain to Singapore, Hong Kong, and Taiwan.

The company runs multiple offices in each of its 14 markets, manned by more than 2,500 full-time staff. “Around 2016, we made a clear decision,” says Asif Akmal, Director of IT at Deliveroo. “As the company was scaling, we needed a strategy for all our offices to scale with us, and we needed the right infrastructure to do that. We can’t afford to have downtime, or to have tools that confuse staff, rather than help them.”

Together with Google Cloud Premier Partner Netpremacy, Deliveroo created a strategy around G Suite that emphasizes the speed and efficiency the company needs to set up offices and train new staff.

“G Suite products work really well, with no steep learning curve,” says Asif. “As a fast-growing company, our strategy is to go to G Suite tools first to find immediate, effective answers within one integrated solution.”

Putting videoconferencing at the core of the business

Videoconferencing is central to the Deliveroo business model. “Many of our international offices rely on operational staff from headquarters, whether for daily one-to-ones or group meetings,” says Asif. “Some of our engineers are constantly present in remote offices on a permanent live video stream, with a screen at the desk where there would be a chair. That makes it mission critical for us to have the correct infrastructure in place in order to do videoconferencing.”

Because internet connectivity can be inconsistent at new offices, Deliveroo teams occasionally need to be able to dial into videoconferencing over the phone, as well as connect through the internet. Previously, Deliveroo used a separate videoconferencing solution in order to have this feature. Now, as G Suite Enterprise users, Deliveroo employees can use Hangouts Meet for the same dial-in functionality, higher quality reception, and up to 100 participants on each call.

“It was a simple decision to switch to Hangouts Meet,” says Asif. “It came with the enterprise package that we were already on, so we made a substantial cost savings by stopping the other solution, which cost almost £15 a month per user. Financially, that made it a no-brainer, but Hangouts also works better from a technical and integration perspective.”

“One of the first things that we address as a company moving into a new office is: Where do we get the videoconferencing system in place so we can start doing calls straight away?” says Elliott Shafii, Google Technology Engineer at Deliveroo. That’s why Deliveroo has a blueprint for video conferencing rooms, specifying the equipment required and the size and acoustics of the rooms where they’ll be installed. Once the necessary Hangouts Meet hardware has been delivered, the Deliveroo AV Manager flies out to the location, installs the equipment in two days, signs off on it, and flies back.

Issuing new devices in one-tenth of the time

Deliveroo facilitates its exceptional growth rate by minimizing the time teams need to spend getting to grips with new tools. “With G Suite, users don’t have much that they need to learn,” says Asif. “That means we can deploy the solution in any country and be comfortable that people can walk into a room and connect to a meeting without problems.”

Asif and his team worked closely with Netpremacy to make training in G Suite tools efficient and accessible, for new starters and anyone who wants to learn. “Collaborating on Docs and Sheets, and using Drive to share files instead of sending attachments allows us to move more rapidly than any other business,” says Asif. “That’s why we have permanent staff in the IT team who concentrate exclusively on the onboarding process, so anyone can learn to use one of the G Suite products in just one hour.”

Introducing Pixelbooks is the latest step in Deliveroo’s pursuit of speed and efficiency. “Previously, it took an average of 50 minutes to set someone up on a laptop,” says Asif. “With Chrome devices, that induction period is down to five minutes. We just open the box, enroll the device, and hand it over.”

Creating a cloud-based company

Using G Suite, Deliveroo is building its ideal workplace to support a more mobile, agile approach to work. “By the end of next year, we should have the vast majority of new starters using Pixelbooks,” says Asif. “We expect that to increase the use of Docs and Sheets and other G Suite tools, in place of other applications. We want to see ourselves as a cloud-based company, and G Suite is ideal for reaching that goal.”

As part of the further deployment of G Suite tools, Deliveroo plans to roll out more Jamboards, in addition to the 14 already in use across the business. “Previously, we would take photographs of whiteboards and share those,” says Elliott. “I remember seeing someone wheeling a whiteboard back to his desk from a meeting, and thinking ‘That poor guy is going to have to sit at his desk and copy everything down.'”

“At that point, before Jamboards, we actually made a significant financial investment in another interactive whiteboard solution,” adds Asif. “Now that solution is collecting dust, because we’ve got Jamboards, which are much more cost-effective and work brilliantly within the G Suite system.”

“Our strong relationships with Netpremacy and Google Cloud product managers mean we can align our internal strategies with them,” says Asif. “Working together, we can create the ideal environment for our culture of collaboration.”

Dr. Agarwal’s Eye Hospital specializes in treating eye conditions such as cataracts; glaucoma; corneal problems such as ulcers, inflammation, and thinning; and retinal issues such as degeneration and detachment. The business operates 62 hospitals in cities across India and 14 hospitals in 8 countries in Africa, including Zambia, Nigeria, and Ghana.

Founded by the late Dr. J. Agarwal, Dr. Agarwal’s Eye Hospital, headquartered in Chennai, India, operates 62 hospitals in cities across India and 14 hospitals in 8 countries in Africa, including Zambia, Nigeria, and Ghana.

According to Dilip Ramadasan, GM-IT, Dr. Agarwal’s Eye Hospital, the business is the second-largest network of eye-care hospitals globally and aims to provide the best eye care in the world.

“We have focused on service over the last couple of years and decided to completely revamp back-end operations such as information technology and finance,” says Dilip.

By switching to Chromebase devices, desktop computing costs including software license fees have fallen from about 50,000 INR (US$768) per employee to about 27,000 INR (US$415) per employee.

“Realizing our vision involved moving to a completely new infrastructure that could deliver the scalability, agility, and performance our evolving application stack required.”

Replacing Aging Desktop Hardware and Applications

The business placed particular emphasis on upgrading its aging desktop fleet and traditional productivity applications.

“When I arrived in 2015, we only had 35 hospitals and all of them were using desktops that were five years or older,” Dilip says. “These desktops were due for replacement within the following six months to a year, so I had an ideal opportunity to upgrade our capabilities and address issues such as excessive support costs and resource requirements.”

For example, if a desktop at a hospital in a remote location experienced a problem, Dilip had to dispatch one of his technology team members to fix the issue. This could take up to five days, while the employee whose desktop was underperforming or failing often needed to wait until the fix was applied before resuming work.

Three Criteria for Improvement

When evaluating options to enhance the hospital’s information technology environment, Dilip applied three criteria: increasing revenue, increasing efficiency, and reducing costs.

“The number of support tickets we used to process on the desktop computing side has fallen by a full 80%. As a result, I’ve been able to cut the number of desktop support team members from eight to three and redeploy them to server and application management and support.”

Dilip elected to replace the traditional desktops and applications with Chromebase devices running Google Chrome and G Suite applications. “This option aligned perfectly with our efficiency and cost criteria,” he says.

The business started a four-month pilot of Chromebase devices with G Suite in October 2015 at four newly-opened hospitals.

“We wanted to see how users would react to the Chromebases running G Suite compared to the traditional desktops and applications,” he adds. “A large component of the project entailed educating users about the benefits of G Suite applications such as Google Docs and Sheets.”

Dilip cites Sheets and Google Drive as the G Suite applications most beneficial to the business.

Chromebases Running G Suite Deployed to 600 Users

Dr. Agarwal’s Eye Hospital has completed the deployment of Chromebases running G Suite to 600 users. This group comprised team members who needed to access a billing application or a human resources management system and doctors who needed to access patients’electronic medical records.

“My desktop total cost of ownership fell by up to 70% when I deployed these devices,” Dilip says.

With G Suite running on Chromebase devices, Dilip has been able to resolve many desktop support issues remotely, minimizing the need to send support team members to distant locations.

“The number of support tickets we used to process on the desktop computing side has fallen by a full 80%,” he says. “As a result, I’ve been able to cut the number of desktop support team members from eight to three and redeploy them to server and application management and support.”

Dilip cites Sheets and Google Drive as the G Suite applications most beneficial to the business.

Sheets enables hospital team members to share important cost and revenue numbers without having to attach multiple versions of spreadsheets to emails, while Google Drive facilitates collaboration by enabling the team members to store and view shared documents.

“Team members are able to spend more time on core activities rather than on picking up numbers and sharing them with regional managers,” Dilip says.

The business also uses Google Vault to protect management data held in emails and help ensure compliance with legislative requirements.

Google Cloud Platform Products Under Evaluation

Dr. Agarwal’s Eye Hospital is evaluating extending its deployment of Google Cloud Platform products to Google BigQuery and Google Data Studio.

“We are looking to add a business intelligence layer over applications running in other cloud environments, and Google potentially provides an option to do that,” Dilip says.

“This layer would enable us to analyze electronic medical record data to increase our understanding of patterns such as how a particular disease affects an individual across various stages of life and what types of interventions would deliver the best results.”

“Google has introduced the flexibility we need to reposition our engineers as needed, improved the relationship between the information technology team and operations teams, and given the information technology team greater confidence in resolving issues,” adds Dilip. “We will be continuing to scout for opportunities across Google platforms to increase our revenue and efficiencies while decreasing our costs.”

We are excited to announce that as of April 1, 2021, Google Cloud VMware Engine is covered under the Google Cloud Business Associate Agreement (BAA), meaning it has achieved HIPAA compliance. Healthcare organizations can now migrate and run their HIPAA-compliant VMware workloads in a fully compatible VMware Cloud Verified stack running natively in Google Cloud with Google Cloud VMware Engine, without changes or re-architecture to tools, processes, or applications.

Healthcare organizations increasingly use cloud platforms to personalize patient care, analyze large datasets more effectively, enhance research and development collaboration, and share medical knowledge. Leveraging cloud platforms can also help healthcare organizations increase the privacy and security of information systems, including protected health information (PHI), and, as a result, better comply with applicable laws and regulations while reducing the burden of compliance. For PHI, the Health Insurance Portability and Accountability Act of 1996 (HIPAA) set standards in the United States to protect individually identifiable health information. HIPAA applies to health plans, most healthcare providers, and healthcare clearinghouses that manage PHI electronically, and to persons or entities that perform certain functions on their behalf. 

With Google Cloud, organizations can leverage solutions that enable secure, continuous patient care and data-driven clinical and operational decisions with ease, while being empowered with collaboration and productivity tools. For healthcare organizations that leverage VMware on-premises, having a consistent, cloud-integrated platform that provides seamless access to native cloud services unlocks the opportunity to extend, migrate, and modernize healthcare IT infrastructure and applications in a fast, low-risk manner at their own pace. This is especially important for mission-critical healthcare provider workloads, where having a low-risk way to adopt the cloud is important. Google Cloud VMware Engine offers that solution. Customers have the ability to encrypt their virtual storage area network (vSAN) using an external key management server. Healthcare customers can run their workloads in a native VMware environment—vSphere, vCenter, vSAN, NSX-T, and HCX—while benefiting from Google Cloud’s highly performant infrastructure to meet the needs of their workloads. Customers can connect their VMware applications to native Google Cloud services such as BigQuery and artificial intelligence (AI) to derive new insights from existing data and quickly make informed decisions. 

Protecting against and mitigating the impact of ransomware attacks is top-of-mind for Healthcare organizations. This requires building a cyber resilience program and back-up strategy to prepare for how users can restore core systems or assets affected by a security (in this case, ransomware) incident. This is a critical function for supporting recovery timelines and lessening the impact of a cyber event so organizations can get back to operating their business.  Google Cloud VMware Engine in combination with Google Cloud first party solutions such as Actifio Go, or partner solutions such as NetApp CVO can provide an efficient way to recover incremental point-in-time backups along with on-demand provisioning of new compute to  recover both data and infrastructure from Ransomware attacks quickly and efficiently. 

Healthcare customers can also use Google Cloud VMware Engine as a disaster recovery (DR) target for their on-premises VMware workloads. Healthcare organizations also need a business continuity plan for their mission critical applications. When a disaster occurs, hospitals need their data protected so they can quickly get back to treating patients. It is a HIPAA requirement that healthcare organizations must be able to recover from a natural disaster. Google Cloud VMware Engine offers a like-for-like cost-effective DR target for these customers. The DR environment can be operated without new training using the same tools as their on-premises deployment. Google Cloud VMware Engine is currently available in 12 regions across the globe including three regions in the US, which means our regional and multi-national customers can take advantage of this service for geographic diversification as well.
