Hayden Cox was only 15 years old when he broke his surfboard. And he was only 15 years old when he decided to make one.

That’s how Haydenshapes, Cox’s surfboard manufacturing company, took form. That was five years ago. Today, the company has manufacturing units in Los Angeles, Sydney, and Thailand and is selling surfboards in 70 countries around the world.

One of the major enablers that ensured Haydenshapes expanded its reach across continents—in just five years—is collaboration. For any company wanting to spread its wings and expand quickly to reach more customers, real-time collaboration is imperative.

That’s why Haydenshapes turned to Google Cloud’s G Suite to ensure its teams in Los Angeles, Sydney, and Thailand are working together towards the same goal in real-time. Its marketing, sales, and other business teams collaborated on Google Docs, Slides and Sheets to help the business grow across the world.

This, in turn, ensured that Cox could dedicate a significant amount of time in coming up with the next big idea and getting more products out to market quickly and cost-effectively.

With Google Workspace, Canva is delivering a collaborative environment to support a rapidly growing international workforce, keeping them connected and continuing to support a continued period of growth.

Launched in 2013, Canva is a free online design platform with a mission to empower everyone in the world to design. Featuring a simple drag-and-drop user interface and a vast range of templates ranging from presentations, social media graphics, posters, apparel to videos, plus a huge library of fonts, stock photography, illustrations, video footage and audio clips, anyone can take an idea and create something beautiful. The Canva team is located across the globe with offices in the United States, China, the Philippines and Australia.

A business that enables collaboration, innovation, and creativity is a natural fit for Google Workspace, an integrated suite of secure, cloud-native collaboration and productivity applications. Canva is a long-term user of the application suite and Jeff Lai, Internal Infrastructure Specialist, says “being a global business from day one, the company wanted to ensure any technology we used would be able to grow and scale with us.

“Google Workspace certainly met the brief. For example, creating new Google Workspace instances is very easy, you simply connect them to your domain and away you go.”

Canva has 1,850 Google Workspace licenses to cover its approximately 1,200-strong workforce, plus service accounts and shared accounts. The application suite covers the organization’s communication, connectivity and productivity needs, with enough storage to enable the business not to have to pay for supplementary storage services or deploy storage in-house. Canva’s team of designers, developers, marketers, investors and advisers uses Google Workspace for tasks such as scheduling meetings, emailing and chatting to internal and external parties, storing files and tracking activity on spreadsheets.

“Google Workspace is like air and water to us,” says Jeff. “it is part of the natural environment of our workplace.”

Reviewing licensing

With Google Workspace enabling Canva’s global workforce model, the business is exploring ways of further leveraging the features available through the application suite; Jeff reveals Canva is exploring the use of enterprise-class licenses that provide additional reporting and auditing capabilities.

Supporting a distributed model with an increasing number of employees based outside Australia also requires Canva to use collaboration and productivity tools available 24 hours a day, seven days a week.

Google Workspace applications help the business drive continuous improvement from the bottom up, as well as the top down. Canva uses Forms to capture — in what Jeff describes as ‘no-judgement’ fashion — new ideas, callouts of broken processes, or areas of improvement. These comments and suggestions go directly to founders and senior management for action.

Furthermore, Google Workspace enables Canva to run a continuously productive working environment. “To empower our team to undertake deep work, we have a recurring weekly Calendar invitation that keeps an entire day free of meetings across the business,” says Jeff.

Growth example of ‘new normal’

Canva’s team believes the organization’s accelerated growth is indicative of the ‘new normal’, as more teams realize the need for a more scalable, more collaborative, more affordable and more user-friendly design platform.

Organizations of all sizes are doubling down on building a reliable remote workplace, and are turning to modern productivity and collaboration platforms like Canva to ensure they remain flexible and scalable.

Google Workspace and other Google Cloud products and services also enable Canva to increase the value of its own platform. The business uses Translation API to translate non-English searches into English, allowing it to display appropriate images and other elements.

Furthermore, the Canva editing tool enables users to pull files from Drive to be refined, while the platform also integrates with Google Maps and YouTube to give end users the ability to easily create items such as online brochures with these products integrated into them. Finally, Canva for Education — a tailored product to support student learning — integrates with Google Classroom, helping educators efficiently manage progress and connect with students at school, from home or on the go.

With Google Workspace, Canva is ideally positioned to continue growing its user base and build on the success of a platform that has thousands of templates and fonts, and millions of stock photos, icons and illustrations. Jeff says the business remains focused on the same goal as its founders had right at the start — making design accessible to everyone. “We expect Google Workspace to continue to play a key role in our operations and in supporting an increasingly international workforce,” he says.

How Buffalo Tours CEO Found a Way to Increase Bookings by Over 1 Percent

The CEO of Buffalo Tours reveals how lost emails to customers--that reached over 5 percent--threatened the business of one of the world's leading tour operators. Here's what his company did to fix that and increase bookings by over 1 percent.

Buffalo Tours serves tons of passengers each month, helping them with various aspects of their travel. These involve tour booking requests from passengers, request processing and information checking. Prior to the Google implementation, Buffalo Tour’s email exchange was supported by another email server. Employees lamented the frequent loss of emails and the ineffective spam filtering system, which resulted in legitimate emails from customers being treated as junk mail. Prior to adopting Gmail, the trend of lost emails or failed delivery accounted for 5% of the business. This means that five out of every 100 incoming requests to Buffalo Tours were lost.

“We are in the business of servicing customers and when missing emails become a regularity, it damages our company’s credibility and image, not to mention a loss of company revenue. Internal communication with the various representative offices is mostly conducted online, and lost emails inhibits workplace collaboration,” said Bui Anh Tuan, IT manager of Buffalo Tours.

Managing the email server was also a challenge as the server was hosted by a network operator but located on-premise. Due to the logistical challenges, each time the server failed, it took some time before the server could be rebooted. The complex system configuration also meant it was not easy to get new employees on board.

Gmail emerged as a viable option to replace Buffalo Tour’s existing email server as it was cloud-based and user-friendly. At the start, Buffalo Tours made use of the free Gmail service for business. Happy with the results, Buffalo Tours decided to switch to G Suite on a permanent basis.

“G Suite has enabled us to manage our emails in a more professional manner. This means improved work efficiency and better customer service. Furthermore, it also offers many other essential services that benefit the work that we do,” said Tuan.

Many employees at Buffalo Tours have been utilizing Gmail as their main communication tool. Buffalo Tours is looking at ways to further utilize the other products within G Suite such as Google Sites, Google Docs, and Google Drive.

Since making the switch to Gmail, the company does not have to bear the cost of buying and maintaining a physical server, resulting in cost savings of around 17% annually. The rate of lost emails is now down to almost zero, which is the icing on the cake for Buffalo Tours.

One of the distinct advantages of Gmail is its impressive spam filter capabilities. For the premium version, this service is enhanced with Blacklist and Whitelist features, making the spam filter even more effective. With the enhanced control features, business and junk mail are easily categorised.

“Our staff can easily input the IDs of the entire office and regular customers to the Whitelist. With a click of a mouse, important business emails are never missed. There is a 10-15% increase in employee productivity now that the issue of lost emails is resolved,” Tuan commented. Gmail has also brought about increased convenience to Buffalo Tours. G Suite is easy to configure for any new employee. All employees need is their username, password and an Internet connection to check emails. What used to take a lot of time and resources is now a simple administration process.

With the current blooming mobility trend, Gmail provides Buffalo Tours with the flexibility to empower employees to work more efficiently. Employees can now access their work emails on their personal smartphones, tablets or other mobile devices. “Since we switched to G Suite, there have been zero customer complaints around the inability to contact the sales division. Meanwhile, our business continues to prosper and our yearly bookings increased by 1.5%. Together with Google, we are confident of our continued growth,” concluded Tuan.

Existing learning platforms lack engagement

Outside of traditional education settings, massive open online learning courses (MOOCs)—often modeled after university courses—can provide a flexible and affordable way to upskill or reskill. But the vast majority of people who participate in MOOC programs fail to complete courses. Based on our research, the challenge with existing learning platforms is a lack of engagement, primarily caused by limited direction on which skills to learn, whether AI, fintech, blockchain, or other in-demand disciplines.   

We’ve also received feedback that many corporate learning management systems–developed as online training systems to upskill employees–tend to be poorly designed and time-consuming to use. 

Overall, a significant challenge with most existing learning platforms is that they’re generic. For example, suppose you’re interested in learning about AI. In that case, you need AI-related coursework that applies to your industry and the job you want because AI in medicine is vastly different from AI in financial services. Today’s online learning options typically take a one-size-fits-all approach and fail to capture the nuances of what learners really need to get ahead. 

Building a future-proof learning platform 

The commitment to highly personalized, accessible learning inspired KIMO.ai, a platform that we believe is the future of education. As we’ve grown our team and launched our beta to 110,000 users in developing markets, we discovered there is a lot of interest in our platform, and we believe we can make a significant impact. In feedback forums, we also learned that we need to focus our efforts on the mobile experience to improve engagement since 99% of the beta testers use mobile devices. 

Beyond our team’s high level of trust in Google Cloud solutions, our team also appreciates the cultural alignment with Google. We value Google’s developer-centric approach and rely on tools like Dataflow for batch data processing and Cloud TPU to reliably run machine learning models with AI services on Google Cloud. We also build all of our deployments on Google Kubernetes Engine (GKE), which makes it easy to manage all our containerized workloads 

On the front end, Google App Engine makes it easy to deploy apps and experiment, and it integrates seamlessly with Firebase for authentication and more. BigQuery is our serverless data warehouse that efficiently scales to support the millions of articles, videos, and other learning resources we need to analyze to provide the targeted coursework recommendations our learners require.

As we grow our business having a network of trusted advisors is also extremely valuable. By working closely with DoIT International, the 2020 Google Cloud Global Reseller Partner of the Year, our team has access to their cloud, Kubernetes, and machine learning expertise. DoIT has already helped us quickly resolve IT issues and create analytics dashboards that give us insights to continually enhance our services.
