Driving impact over output in a new era of work

As Google’s productivity advisor, I spend a lot of time coaching executives on ways they can make the most of their work day. Over the years, people have come to me with very different ideas about what productivity is, why it matters, and how to achieve it. Often, they think it’s about extracting every last ounce of output from a day—likely because the idea of productivity comes from economics and is most closely associated with factory conveyor belts and efficiency. 

My definition of personal productivity is different. It’s less about getting as much as you can out of each day and more about achieving the things you set out to accomplish and making an impact. 

Productivity is grounded in understanding yourself as a whole person. What makes you happy at work and outside of work? What are your natural rhythms and peak times for creativity, focus, or efficiency? When are you most engaged in meetings? What makes you feel unstoppable when responding to emails? And when do you need to take a break, do some uninterrupted thinking, or deepen social connections with your colleagues? 

When people don’t understand these aspects of productivity, they struggle to make an impact—no matter how well they manage their calendars and inboxes. 

During the global pandemic, we’ve realized the importance of sustaining the wellbeing of ourselves and our families, setting healthy boundaries, and bringing intention to the work day. Among those lucky enough to have the flexibility to work from home, many had to juggle new obligations, from homeschooling to caregiving. And without a solid plan in place, people often found themselves working longer hours and facing burnout.

Now, even as the pandemic enters new and unforeseen phases, many organizations are gearing up for a hybrid work model, Google included. As we make those plans, it’s important that people take a fresh look at personal productivity and plan to maximize wellbeing and impact across all the places they work.

MD Insider is using ML to help patients figure out which doctors have the best outcomes for specific procedures by analyzing data from thousands of institutions and doctor-patient interactions. That wouldn’t have been possible without Google Cloud.

Patients about to undergo a healthcare procedure understandably want the best medical professionals they can get. But how can they know which doctors have had the most experience and the best outcomes with that particular procedure? How can they make an informed decision about which doctor to select when the information they have is limited to the doctor’s practice area and subjective reviews from other patients?

MD Insider is working to solve that problem using machine learning (ML) to objectively analyze doctor performance. By analyzing data from thousands of institutions and millions of doctor-patient interactions and medical events, MD Insider identifies physician performance insights based on their experience and outcomes. Insights are then integrated into a triage engine, that enables consumers to search for and schedule appointments with providers who meet their clinical criteria and convenience preferences, such as insurances accepted, office hours, locations, and language.

MD Insider also offers robust data APIs to help health systems, health plans, and employers reduce costs and improve quality of care. Payers use the APIs to curate high-quality provider networks and manage provider directories. Examples of MD Insider’s data APIs include Provider Experience and Share of Practice metrics, Provider Quality and Outcomes, Network Modeling, Expert Clinical Search Taxonomy, Find a Provider, Acute-Care Hospital Quality, and Provider and Facility Metadata.

MD Insider is continuously ingesting the latest performance data about physicians and analyzing billions of rows of data. Requiring constant scalability, the company was born in the cloud; however, it had difficulty configuring server instances for the optimal balance of memory and CPU, and its Hadoop cluster had to be kept running 24/7. Network performance was often slow for no apparent reason. As a result, failure rates from node timeouts increased, and costs grew along with the data. MD Insider had to estimate its usage and pay up front, and received little financial benefit from sustained use commitments.

Knowing that data would continue to grow, MD Insider decided to move its data services — the most demanding and complex portion of its infrastructure — to Google Cloud Platform (GCP), and took advantage of GCP managed services for container management and big data analytics.

“One of the reasons we decided to move to Google Cloud Platform is because it feels like a unified, well-designed cloud architecture and pricing model,” says Ed Holsinger, Lead Data Engineer and Head of Data Science at MD Insider. “We use Google Cloud Platform the way the cloud was supposed to be used. 5x the performance, 75% less cost

MD Insider now uses Kubernetes Engine to automate container management and deploy clusters in minutes with just a few clicks. When hundreds of machines are required to analyze a large dataset, automation in Kubernetes Engine deploys ML models as containers, each of which manages the full lifecycle of its task, including scaling up resources, deploying results, and scaling back down when the task is finished. It’s easy for MD Insider to specify exactly how much CPU and memory each container needs, helping maximize performance while reducing costs.

“Moving to Google Cloud Platform and Kubernetes Engine gave us 5x the processing power for analyzing physician performance at 75% less cost,” says Ed. “Our data scientists have more power than ever before to generate insights for our customers. Data scoring jobs that used to take three business days now take four hours.”

Adds Galen Meurer, Senior Software Engineer at MD Insider: “Even if all Google Cloud Platform had to offer was Kubernetes Engine, I would still want to use it. Previously we spent up to 30% of our time managing our container infrastructure, which we can now use for product development.”

A foundation for data science

MD Insider was happy to find that GCP offers a wide variety of managed services. For example, the company is supplementing its Kubernetes Engine clusters with BigQuery for its big data masters and selection jobs, enabling scientists to analyze new and different types of data as well as analyze larger datasets in less time. MD Insider also uses Cloud Storage for big data staging and Cloud Dataproc to run managed Apache Spark clusters for data processing.

“Google Cloud Platform gives us an incredibly powerful cloud architecture for data engineering and data science,” says Eric Wilson, CEO of MD Insider. “That gives our scientists independence, they can do what they need to do without waiting and with no contention between them.”

A developer-friendly platform

Migrating its data services was such a success that MD Insider decided to move the rest of its infrastructure to GCP, including the front end for its web application. Since the migration, MD Insider has experienced no unplanned downtime on GCP, allowing it to easily meet the 99.5% uptime SLA it promises to customers. It’s also taking advantage of Build Triggers in Kubernetes Engine to automate container builds and reduce build times by more than 40%. Production code can be updated in seconds, with no impact to end users other than making new features available.

“GCP has simplified our workflow in so many ways, from intelligent load balancing to content delivery and automating builds,” says Matthew Frey, Software Engineer. “Everything on GCP is cohesive and developer friendly, with a superior UI and better network performance than other cloud providers.”

Securing billions of rows of clinical and non-clinical healthcare data

As a healthcare technology company, MD Insider processes billions of rows of clinical and non-clinical healthcare data. To control user access to GCP, it uses Identity & Access Management (IAM) along with Yubico YubiKeys for hardware-based two-factor authentication when logging into Google Workspace. MD Insider takes comfort that GCP encrypts data at rest by default, and encrypts and authenticates data in transit when data moves outside physical boundaries not controlled by Google or on behalf of Google.

“On GCP, everything that we need to be encrypted for compliance purposes is encrypted, which is fantastic,” says Eric. “When I tell our potential clients and partners about the resources that Google has dedicated to security, it gives them the confidence that their data will be protected.”

Transforming how teams work

As a growing company, MD Insider must collaborate seamlessly between offices in California, Colorado, and Illinois. It relies on Google Workspace for communication and productivity, using DocsSheets, and Slides to drive the business. Employee and team files are stored in Drive, and meetings are conducted via Google Meet with Chromebox for Meetings videoconferencing hardware kits. Google Workspace also helps MD Insider maintain information security by authenticating email domains with digital signatures in Gmail and scanning outgoing email using Gmail Data Loss Prevention (DLP).

“I use Google Workspace every day, and everyone else here does too,” says Eric. “Team Drives are a big time saver for us. We’ve let our previous office software expire, because there’s no need to pay for those licenses anymore.”

Promoting healthcare transparency

With GCP helping MD Insider increase velocity and momentum, the company is making exciting progress. For example, it has entered into a strategic partnership with Zelis Healthcare, which will use MD Insider’s API to provide insights for a next-gen analytics platform that will give health plans unprecedented transparency around physician performance.

Commercial trucks often travel partially empty because many shippers don’t have enough cargo to fill an entire container or trailer. Although offering available space to other shippers helps minimize carbon emissions and reduce operating costs, most trucking companies can’t efficiently schedule, track, or deliver multiple freight loads.

Companies have always struggled to ship over-the-road freight efficiently. However,recent economic events have created an unprecedented logistics and transportation crisis that continues to disrupt supply chains, delay deliveries, and significantly raise the price of basic goods. Since some stores can’t keep their shelves fully stocked, many people across the country are finding it more difficult than ever to buy the things they need at an affordable price.

Although exacerbated by the pandemic, many of these supply chain issues have existed for decades. That’s why, in 2015, Flock Freight was started with the mission of reducing waste and inefficiency from the supply chain by reimagining the way freight moves. First to market with advanced algorithms that enable pooling shipments at scale, we create a new standard of service for shippers, increase revenue for carriers and reduce the impact of carbon emissions through shared truckload (STL) service.

Our technology helps lower prices compared to full truckload (FTL) by enabling shippers to only pay for the space they need—and maintain full control over pickup and delivery dates. Moving Flock Freight to Google Cloud

We founded Flock Freight with a small team based in southern California. We soon realized we needed a more scalable and affordable technology stack to support our rapidly growing platform and team. After joining the Google for Startups Cloud Program and consulting with dedicated Google startup experts, we decided to move all our data and applications to Google Cloud.

The highly secure-by-design infrastructure of Google Cloud now enables thousands of Flock Freight customers to move their freight faster, cheaper, and with less damage than traditional shipping methods. Specifically, we rely on Google Kubernetes Engine (GKE) to support the combinatorial optimization and machine learning (ML) algorithms and services that identify, pool, and schedule shared truckloads. We also leverage GKE to rapidly develop, deploy, and manage new applications and services.

In addition, we leverage Cloud SQL to automate database provisioning, storage capacity management, and other time-consuming tasks. Cloud SQL easily integrates with existing apps and Google Cloud services such as GKE and Pub/Sub. Lastly, we use Compute Engine to create and run virtual machines, optimize resource utilization, and lower computing costs by up to 91%. These cost savings allow us to shift more resources to R&D and rapidly develop new solutions and services for our customers.

Building a greener, more resilient, and responsive supply chain

The Google for Startups Cloud Program and dedicated Google startup experts were instrumental in helping us manage cloud infrastructure cost and maintaining very high SLAs, helping Flock Freight to focus on developing a comprehensive shipping platform that powers shared truckloads and drives positive industry change.

We especially want to highlight the Google Cloud research credits we relied on to launch Flock Freight and make rapid progress toward transforming the shipping industry. To this day, we continue to work with Google Cloud Managed Services partner DoiT International International to further scale and optimize operations on Google Cloud.

We’re proud of the results we’re delivering for our customers. For example, a home improvement importer now enjoys faster, safer, and easier shipping with 99.9% damage-free service and a 97.5% on-time delivery rate. A packaging supplier continues to maintain a 99% on-time delivery streak and decrease carbon emissions by 37%, while a mineral water company consistently reduces delivery expenses upwards of 50%.

Nationwide demand for shared truckloads continues to increase as the shipping industry works to lower costs and alleviate supply chain disruptions. With the Flock Freight platform, companies are building a more sustainable and resilient supply chain by efficiently combining multiple shipments into shared truckloads.

Let’s take a closer look at these capabilities.

Unify data from SAP software with unique Google data signals


When it comes to demand forecasting and planning, the more high-quality and relevant contextual data you use, the better, because it helps you understand the influencing factors of your product sales to sense trends and react to disruptions or capitalize on market opportunities more timely and accurately.

The expanded Google Cloud and SAP partnership helps customers who use SAP® Integrated Business Planning for Supply Chain (SAP IBP for Supply Chain) bring public and commercial data sets that Google Cloud offers into their own instances of SAP IBP and include them in their demand planning models in SAP IBP. So, in addition to sales history, promotions, stakeholder inputs and customer data that are typically in SAP IBP, a demand planner can incorporate their advertising performance, online search, consumer trends, community health data, and many more data signals from Google Cloud when working through demand scenarios.

More data enables more robust and accurate planning, so Google continues to build an ecosystem of data providers and grow the number of available data sets on Google Cloud. Some current providers include the U.S. Census Bureau, the National Oceanic and Atmospheric Administration, and Google Earth, and partnerships are underway with Crux, Climate Engine, Craft, and Dun & Bradstreet to help companies identify and mitigate risk and build resilient supply chains.

Augmenting demand planning with additional external causal factor data is a starting point to drive more accurate forecasting. For example, knowing what regional events may be happening, or the weather patterns that may impact sales of your products, allows you to react faster to these changes by making sure adequate supply is being provided. The result is a more accurate overall plan that reduces resource waste and out-of-stock events. Planners can respond with more accurate and granular daily predictions about sales, pricing, sourcing, production, inventory, logistics, marketing, advertising, and more based on the expanded data.

Get more accurate forecasts with Google AI inside


Extending the already expansive algorithm selection available in SAP IBP, the release of version 2205 allows SAP IBP customers to access Google Cloud’s supply chain forecasting engine, which is built on Vertex AI — Google Cloud’s AI-as-a-platform offering — from within SAP IBP as part of their forecasting process.

The benefit of using an AI-driven engine for demand forecasting is that it meaningfully improves forecast accuracy. Most demand forecasting today is done through a manually set, rules-based model versus an AI-driven model that is smarter and gets better at predicting demand as it works.

Take the fastest path from data to value with streamlined workflows

Vertex AI can include relevant contextual data sets for demand planning, and the results can be shown in SAP IBP for planners to incorporate when building their workflows.

In addition to more accurate forecasts, planners can work faster and more efficiently as they build potential scenarios, meaning they can do more simulations than they do now so that a wider range of disruptions can be modeled. Customers of SAP IBP don’t have to do any of the heavy lifting. They just have to share their data from SAP IBP with Google, then access the process workflow capabilities to set up automated workflows that use the combined data. Google makes the data available so that planners can use it as they’re setting up their workflows in Vertex AI.

Users of the Google Supply Chain twin and SAP IBP can combine the rich planning data from IBP with additional SAP data and other Google data sources to provide better supply chain visibility. The Google Supply Chain twin is a real-time digital representation of your supply chain based on sales history, open customer orders, past and future promotions, pricing and competitor insights, consumer history signals, external data signals and Google data.

Vimeo is a video-sharing platform that’s home to imaginative video creators and hundreds of millions of viewers. Sixty million people create, host, and sell high-quality videos on Vimeo, including more than 800,000 who subscribe to the service’s premium tools. Over 240 million people in more than 150 countries watch videos monthly.

Vimeo was using its own servers to allow users to upload videos to its service, a cloud storage platform for storing videos, and as an alternative solution for streaming. It was looking for a solution that would do away with its own servers for uploading. Vimeo built a new adaptive video-delivery service on Google Cloud Platform and the Fastly edge cloud that can scale on demand to meet Vimeo’s growing needs for video streaming.

Tuning video delivery

Building a great video experience begins with a fast, reliable upload service. Vimeo replaced its servers for accepting video uploads with Google Cloud Storage, fronted by the Fastly edge cloud to help ensure regional routing and low-latency, high-throughput connections for Vimeo’s publishers. Multi-regional Google Cloud Storage offers fast, resumable upload capability that helps make for better user experience.

The video delivery service transcodes videos and streams them to users—videos are customized depending on network traffic and the devices to which the videos are delivered. The goal is to deliver the highest-quality, smooth playback experience across all platforms over varying network conditions and device capabilities.

Google Compute Engine packages the videos, which are stored on Google Cloud Storage. Google Compute Engine can automatically scale to allow Vimeo to deliver videos on the fly, even when demand spikes and many users stream videos simultaneously across a very diverse library. The low latency of Google Cloud Storage helps with fast startup times, while providing scalable storage to host millions of videos from Vimeo’s loyal community of content creators.

“Fastly and Google Cloud Platform enabled us to build a low-latency, highly scalable, on-the-fly adaptive video streaming packager in a short period of time with a small team,” says Naren.

High-quality video means more users

With Fastly and Google Cloud Platform, Vimeo is delivering more and higher-quality videos to its users because of the platform’s low latency, high bandwidth, and ability to scale. Because of the system’s reliability, fewer users stop watching videos because of delays and glitches. Vimeo engineers do not have to spend their time managing infrastructure and now focus on improving the video delivery service, leading to improved customer satisfaction. Costs are reduced because Vimeo does not have to manage the infrastructure in-house.

Operational resilience continues to be a key focus for financial services firms. Regulators from around the world are refocusing supervisory approaches on operational resilience to support the soundness of financial firms and the stability of the financial ecosystem. Our new white paper discusses the continuing importance of operational resilience to the financial services sector, and the role that a well-executed migration to Google Cloud can play in strengthening it. Here are the key highlights: 

Operational resilience in financial services

Financial services firms and regulators are increasingly focused on operational resilience, reflecting the growing dependency that the financial services industry has on complex systems, automation and technology, and third parties. 

Operational resilience can be defined as the “ability to deliver operations, including critical operations and core business lines, through a disruption from any hazard”1. Given this definition, operational resilience needs to be thought of as a desired outcome, instead of a singular activity, and as such, the approach to achieving that outcome needs to address a multitude of operational risks including: 

  • Cybersecurity: Continuously adjusting key controls, people, processes and technology to prevent, detect and react to external threats and malicious insiders.
  • Pandemics: Sustaining business operations in scenarios where people cannot, or will not, work in close proximity to colleagues and customers.
  • Environmental and Infrastructure: Designing and locating facilities to mitigate the effects of localised weather and infrastructure events, and to be resilient to physical attacks.
  • Geopolitical: Understanding and managing risks associated with geographic and political boundaries between intragroup and third-party dependencies.
  • Third-party Risk: Managing supply chain risk, and in particular of critical outsourced functions by addressing vendor lock in, survivability and portability.
  • Technology Risk: Designing and operating technology services to provide the required levels of availability, capacity, performance, quality and functionality. 

Operational resilience benefits from migrating to Google Cloud
