Document AI: A Platform for Businesses to Simplify Document Automation

As I type this blog in a Google Doc, I can’t help but think about how much we rely on digital documents to communicate, collaborate, and do business. Yet most of the data in documents remains un-analyzed. Even when documents are part of customer-facing workflows like processing a mortgage application or a contract, businesses frequently struggle with the data those documents contain. Often, even finding the right document in a haystack of thousands across the organization can be challenging. To resolve these difficulties, most organizations rely on manual, time-consuming, and resource-intensive processes—all of which are incredibly frustrating for employees at the forefront of document workflows.

Because of challenges like these, in 2020, we launched Document AI, an AI agent that lets organizations apply machine learning (ML) to their hardest document automation problems. Since then, we have introduced specialized models to extract data for industry-specific use cases such as mortgage processing and procurement. With the launch of Document AI Workbench and Document AI Warehouse at Google Cloud Next ‘22, we’ve continued to take significant steps in our mission to help organizations simplify and automate document processing. Let’s double click on each of these announcements.

Custom document processing with Document AI Workbench

With Document AI Workbench, organizations can process documents by creating custom ML models that are specific to their business needs and extract unstructured data with a high degree of accuracy. Thanks to the user-friendly interface, even business users who do not have extensive ML skills can get started training or uptraining models.

Moreover, if an organization wants to transfer learning from pretrained models and enhance a model further to, say, include new fields, users can now do so by what we call “uptraining.” The uptraining feature is especially valuable for the most common yet complex use cases because it helps to save time and resources, so businesses don’t have to start from scratch. Uptraining for the invoice, purchase order (PO), contracts, W2, 1099-R, payslip, and 1040 pre-trained models unlocks new possibilities for improving accuracy, adding new language support, and schema customization.

We’re continuing to invest in these pretrained models. At Next’22, we announced an update to our invoice and expense pre-trained models with improvements to normalization and line item entities detection, as well as new ID proofing capabilities via a flexible API designed to spot fake, altered, or doctored ID documents. We’ve also added support for five new languages across invoice and expense models, in addition to the 12 previously-supported languages, and expanded availability in Canada and Australia regions, in addition to previously-supported US, EU, and Singapore regions.

According to Daan De Groodt, Managing Director, Deloitte Consulting LLP, Document AI Workbench “is poised to be a game changer, because we can now uptrain various text documents and forms utilizing powerful Google Machine Learning models to get the desired accuracy creating greater time and resource efficiencies for our clients.”

And customers are already seeing benefits. Libeo used Document AI to uptrain an invoice parser with 1,600 documents and increase its testing accuracy from 75.6% to 83.9%. “Thanks to uptraining, the Document AI results now beat the results of a competitor and will help Libeo save ~20% on the overall cost for model training over the long run,” said Libeo chief technology officer, Pierre-Antoine Glandier.

Google-powered document search with Document AI Warehouse

With Document AI Warehouse we are bringing the best of Google’s semantic search to documents. Document AI Warehouse lets enterprises search, store, govern and manage documents and their AI-extracted data and metadata in a single platform. With Document AI Warehouse’s simple and intuitive web accessible user interface, users can explore, view, bulk update and organize documents into folders. Document AI Warehouse offers robust enterprise control and governance so you can control who has access at the document and folder levels and assign users and groups permissions to view, edit, manage (share, delete) documents. You can migrate, sync, or federate documents from other repositories, such as Microsoft SharePoint, Amazon S3, and IBM FileNet. Or if that’s not an option we simply index the content and any extracted/tagged metadata).

We also will consolidate a number of next-generation product enhancements on Document AI OCR and Form Parser by the end of this year – including deeper insights into document quality & semantics, a unified document OCR experience, expanded language coverage for Form Parser, and advanced tooling for model lifecycle management. Google’s DeepMind team developed a new method that allows the creation of document parsing ML models for utility bills and purchase orders with 50%-70% less training data than what was previously needed for Document AI. We’re working on integrating this method into Document AI Workbench in the coming months.

Though you can simplify the steps, solving these problems still requires powerful tools. Google Cloud’s AI/ML capabilities may be the answer for your team.

Google Public Sector is making it easier to get started with advanced technologies, beginning with artificial intelligence and machine learning (AI/ML) workloads for government organizations, and it’s something you can do now, one piece at a time.

Automating your FAQs with CCAI

Automate data entry with DocAI

Google Document AI (DocAI) specializes in exactly this—even if the form has handwritten text. Getting Started with DocAI and Scaling with DocAI are new service offerings that help you remove this burden from your team. Making data and insights accessible with BigQuery

It was designed for data analytics—looking back at historical data to make conclusions about it. But BigQuery’s analytics don’t stop there. It can also look forward in time to make predictions, often using the same datasets. Getting Started with BigQuery and Scaling with BigQuery are new service offerings that help you take your first steps toward AI/ML capabilities by starting with a single table or pipeline that can help make sense of all your data.

WayFair and Google Cloud Get Together to Raise the Bar on World-class Experience!

To fuel a culture of collaboration and experimentation, WayFair teamed up with Google Cloud for Machine Learning Hackathon in early December. Read to understand the five categories event participants worked on and reflections on AI/ML innovations.

On Dec 9th and 10th, Wayfair and Google Cloud came together for the inaugural Wayfair-Google Cloud Machine Learning Hackathon. Wayfair firmly believes that hackathons are a great way to fuel a culture of collaboration and experimentation. To fuel Wayfair’s incredible pace of innovation at scale, it’s team of more than 3,000 technologists is constantly experimenting and taking smart risks. It’s test-and-learn culture empowers everyone to think critically and creatively, and take big swings to raise the bar on its world-class experience. 

The Wayfair-Google Cloud Machine Learning Hackathon was all about getting Wayfairians excited about and enabled on new technology. More specifically, this event was a contained test environment for Wayfair innovators to validate AI and ML tools in order to understand how to get better insight from their data. The projects worked on during this hackathon will help Wayfair build new use cases that could impact the business and the end customer in new and productive ways. Google Cloud’s focus for this Hackathon was to enable Wayfairains to harness the power of Machine Learning and AI to enable their own goals around continual improvement and relentless customer focus. 

Prior to the event, Wayfair Data Scientists and Machine Learning Engineers who signed up and submitted ideas for the Hackathon were invited to optional Google Cloud enablement and training sessions. Google Cloud set up classrooms in Qwiklabs on topics including, but not limited to, BigQuery, Vertex AI, and Natural Language AI, so that all Hackathon participants could try out new technologies and tools in a learning environment. Google Cloud subject matter experts were available to field any questions Wayfairians had about the use cases they were hacking on. 

The Hackathon was a hybrid virtual & physical event that hosted 67+ innovators, 49 of which registered for Google Cloud supported ideas. 15 judges from both Google Cloud and Wayfair oversaw the event. The esteemed list of judges included Steven Conine, Wayfair’s Co-Founder and Co-Chairman who has helped pave the way for the development of practical applications of next-generation technologies like augmented reality. The judges measured and evaluated the success of a project based on the following criteria:

  • “Wow Factor”: How innovative is the project?
  • Impact: How impactful is the project to Wayfair?
  • Polish: How complete is the project?
  • Presentation Quality: How clear and consistent is the demo? 

The theme of the Hackathon was Machine Learning and AI. Teams were able to collaborate with participants globally, either in-person or virtually, and work together on projects in five categories:  Relentless Customer Focus, Always Improving, Google’s Choice, People’s Choice, and Hackers’ choice. 

At the end of the two days there were winners in all 5 categories. The Google’s Choice award went to “Entity Extraction for Order Matching”. Team “Project Clippy” was named both Hackers’ Choice and the winners of the Relentless Customer Focus category. See below for the results of the 5 categories: 

  • Relentless Customer Focus and Hackers’ Choice
    • Winning Team: Project Clippy
    • Hackers: Misha Balyasin, Alex Saad, Leo Smerling, and Gabriele Lanaro
    • This project provided a gamified experience to make the process of leaving a product review even more seamless. 
  • Always Improving
    • Winning Team: Customer Causal MetaLeaners
    • Hackers: Colin Gray, Irene Wang, Huy Vo Tran, Wenhao Xu, and Santiago Velez Ferro
    • Team Customer Causal MetaLeaners worked to build lightweight procedure(s) for computationally distributed, multi-target, customized loss functions to make causal meta-learners more applicable to real-world Wayfair problems.
  • Google’s Choice Award:
    • Winning Team: Entity Extraction for Order Matching
    • Hackers: Roger Bock, Bradley West, Sina Moeini, and Jonathan de Melker Worms
    • This team built out a solution to use text models to extract and identify the products that customers purchased from user reviews.
  • People’s Choice:
    • Winning Team: KNN and ANN on Vertex AI
    • Hackers: Santosh Jhingade, Ashrith Marpaka, Nikhil Bhaip, Adam Schulze, and Brandon Sanders
    • This team used Vertex AI to expand the impact they can have on suppliers and customers by providing accurate and real-time information of products that match either description or image.

Wayfair leaders reflected on the two days and shared their input. Matt Ferrari, Head of Ad Tech, Customer Intelligence, and Machine Learning; Engineering and Product at Wayfair said, “Wayfair has a lot of vendors, but very few strategic partners, and Google is that. Our Partner.” “Thank you all for the participation! I’m grateful to Google, and the many others for helping lead a successful event.” 

Wayfair partners with Google Cloud to optimize performance and resiliency, support scaling data-driven decisions, and Increase employee productivity. “Our category is ripe for innovation, and our partnership with Google Cloud helps us ensure that great ideas can come from anywhere by empowering our technologists with cutting-edge products and solutions,” said Ferrari. “We’re proud to partner on efforts like hackathons that align with our team’s eagerness to work on complex, rewarding problems that push the envelope and challenge us to always think big.”

At first Google Cloud won Wayfair over with the speed, reliability and performance of their technology. Hackathons like this one exemplify that what is equally as important is Google Cloud’s willingness to work side-by-side with Wayfair at every level to enable a culture of innovation. J&J receives about 1 million applications for 25,000 positions each year. But the percent of applicants that were highly qualified for open positions was low. However, career sites are often underutilized. If a job seeker doesn’t find a good job match with a quick search, they will likely move on. Too often, that represents a lost opportunity for both the company and the job seeker that could have been avoided with better search results.

Although the company always has a variety of open jobs on its career site, it noticed that even when strong matches existed between online job seekers and available positions, search results often didn’t highlight or even display the right opportunities.
